Position Title: Inventory/Purchasing Specialist 
 
Reports to: Chief Financial Officer 
 
Pay Classification:  Non-Exempt 
 
Pay Type: Hourly 
 
Summary 
 
A Purchasing Specialist is responsible for supporting business operations by purchasing products or materials that support production operations.  Their duties include maintaining relationships with Suppliers, Vendors or Wholesalers, placing orders for products based on current inventory needs and tracking shipments from manufacturing locations to company warehouses. Their duties also include keeping track of the goods and supplies in a store or warehouse and manages orders to facilitate sales or production. Their duties include signing off on shipments, counting the number of available products and placing orders for more inventory according to demand. 

 
Duties and Responsibilities 

Purchasing Specialist must maintain good relationships with the organization’s suppliers and vendors. They consistently perform cost analysis to leverage buying power for the company and ensure timely delivery of products and materials. Here are some examples of Purchasing Specialist duties: 

  • Performing supplier and vendor research and selection to enhance profitability, reducing operating costs and boosting efficiency
  • Maintaining cordial working relationships with supplier and vendors, oversee supplier and vendor activities
  • Signing and reviewing purchasing agreements with suppliers and vendors, manage their performance and on-going negotiation of agreements and contracts
  • Using quarterly and annual data to determine purchasing needs and performing inventory management in support operations
  • Managing purchase orders, inventory control to include receiving and overseeing schedules and records 
  • Working with warehouse team to compare deliveries with purchase orders to identify discrepancies
  • Conducting ongoing market research to identify beneficial purchase agreements and potential suppliers or vendors 
  • Ordering inventory from vendors and suppliers and securing shipment arrival times
  • Managing inventory by stocking and cataloging products for operational effectiveness
  • Performing quality checks on operational inventory and discarding inventory that does not meet the company’s standards
  • Updating inventory count and maintaining inventory records to share with management and other stakeholders in the business
  • Reporting discrepancies in inventory counts reflects shortages, investigate discrepancies, and provide written report of findings
  • Obtaining estimates and price details from different suppliers and vendors
  • Researching the accuracy of product details and testing new products

Requirements and Qualifications
 
  • High school diploma or equivalent (Associate Degree or B.Sc. in Logistics, Purchase and Supply, Business Administration or related fields are typically preferred) 
  • At least two years of experience in a inventory/purchasing position
  • In-depth knowledge of purchasing functions, inventory and supply management systems
  • Excellent communication, negotiation and interpersonal skills
  • Ability to work with minimal supervision
  • Strong organizational skills, a good understanding of sourcing and the ability to maintain vendor relationships
  • Direct experience with spreadsheet computer applications
